Who we are

What we collect, and why
Before you create an account. Your browser is given a random identifier the first time you visit, stored on your own device. We use it to remember which listings you have saved and which you have hidden, so the site behaves the way you left it. It is not linked to your name, because at that point we do not have your name.
When you create an account. Your name and your email address. Nothing else. If you set a password, our sign-in provider stores it scrambled in a way that cannot be reversed, so nobody here can read it and we never see it. If you sign in with Google, Google tells us your name and email address and nothing more.
When you contact James. If you ask a question about a property, we keep your message and the name and contact details you gave. If you request a showing, we also keep the day and time you asked for, your mobile number, and any comment you added. These are records of a conversation you started, and James keeps them the way any agent keeps a record of an enquiry.
As you use the site. We record which listings you open, save and hide, and which searches you run. This is how the feed learns what to show you.
We also record which browser and device your visit comes from — the short description your browser sends with every request it makes, to any website. We use it to tell real visitors from automated traffic, so that our own numbers mean something, and to know which devices the site needs to work well on. We do not record your IP address.
If you create an account. We may also use your activity, including activity from before you created an account that we link through your browser identifier, to personalise which properties you are shown and to build an internal picture of what you are looking for. That picture can include a readiness score: our own indication of how actively you appear to be in the market, which helps James decide when to follow up with the people most likely to be ready to buy, sell or rent. It stays inside HouseFeed and is not shared with anyone else, and it is not used to make any decision about you beyond how quickly we reply.
If you do not create an account. None of the above applies to you. Your browsing is used only in aggregate, to understand how the site is used as a whole. We do not build a profile of you as an individual, and we do not give you a readiness score.
We do not collect your date of birth, your income, your credit information, or any identity document. We do not sell or rent your information to anybody, ever.
Advertising. We use the Meta Pixel (Facebook and Instagram) to learn which pages our ads bring people to and to show a follow-up ad to people who have visited the site before. It tells Meta that a visit happened and which page, not your name, your email address, or anything else Meta could use to identify you individually. If you would rather not be included, most browsers let you block it, and Meta's own ad settings let you opt out of seeing personalised ads across their apps.
Consent, and taking it back
Creating an account means agreeing to our Terms of Use, the VOW Terms and this policy. We record when you agreed, and which version of the VOW Terms you agreed to.
Market update emails are separate and optional. You are never signed up by default, and you can switch them off at any time on your account page.
You can ask us to stop using your information at any time. Some of it we may have to keep: a real estate brokerage is required to retain records of its dealings, and an enquiry you sent about a property is one of those.
Who else sees it
We use a small number of service providers, and only for the job named:
- Supabase — the database and the sign-in system, hosted in Canada. Your account and your saved listings are stored there.
- Netlify — hosting. The site runs there.
- Resend — sending email. It handles password reset codes and the emails your enquiries generate.
- Google — only if you choose to sign in with Google.
- Mapbox — the static maps on listing pages.
- PropTx / TRREB — the source of the listing data you see. Information flows to you from them, not about you to them.
- Meta (Facebook and Instagram) — advertising. It receives a record that a visit happened and which page, so we can measure our ads and show a follow-up ad to past visitors. See “Advertising” above.
Nobody else. We do not share your information with other agents, lenders, brokers, or lead-buying services.
How long we keep it
- Your account — until you delete it, or ask us to.
- Saved and hidden listings — deleted with your account.
- Enquiries and showing requests — kept as business records for as long as required by our regulatory obligations as a brokerage.
- Sign-in link records — we store a one-way scrambled version of the email address a link was sent to, never the address itself, and delete it after a day. It exists only to stop the same address being used to send hundreds of emails.
- Listing data — active listings are refreshed hourly and removed when they leave the market. Sold records are kept for twelve months.
Deleting your account
There is a “Delete my account” link on your account page. It removes your sign-in, your name and email, your consent record, and every listing you have saved or hidden, on every device. It cannot be undone.
It does not remove messages or showing requests you have already sent to James. Those are his records of a conversation you had with him, and a brokerage is expected to keep them. They stop being connected to an account.
If you would rather we removed those too, contact us and we will tell you what we are able to do.
Seeing what we hold
You can ask us for a copy of the information we hold about you, ask us to correct it, or ask us to delete it. Contact us — by phone or mail, above — and we will respond within 30 days, which is what PIPEDA requires.
If you are not satisfied with how we have handled your information, you can complain to the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Security
Everything travels over an encrypted connection. Our database is closed to the public internet: no part of it can be read directly, and every piece of information is served through our own software, which decides what you are allowed to see. Sold prices are only ever shown to registered consumers, because the board's rules require it.
Cookies and what is stored on your device
We store: an identifier for your browser, your filter settings, whether you have searched before, whether you have hidden anything, and, if you sign in, a session. We also use analytics to understand how the site is used, so we can improve it, and the Meta Pixel described above under “Advertising.” We do not sell or share analytics data.
Changes
If this policy changes materially we will say so on the site. The date above is when it last changed.
